Use Copilot when
- Documents, email, meetings, and files already live in Microsoft 365.
- You need permission-aware answers from SharePoint, Teams, Outlook, and OneDrive.
- You want staff to stay inside familiar apps instead of copying text into another tool.
Use Claude when
- You need excellent writing, restructuring, summarizing, or policy drafting.
- You want a focused AI workspace outside the noise of email and Teams.
- You need to reason over large documents, proposals, SOPs, transcripts, or technical notes.

What we recommend for Alberta teams
Start with role-based use cases, not vendor loyalty. A finance manager may need Copilot inside Excel and Outlook. A proposal writer may prefer Claude. An operations lead may need a private custom workflow connected to job data later.
Do not buy every seat on day one. Run a two-week pilot: three roles, three workflows, written privacy rules, one human approval gate for anything external.

Privacy without the fog
Copilot inherits Microsoft 365 permissions when configured well. Claude quality depends on plan, settings, and what staff paste. Neither tool is a free pass for client secrets, health data, passwords, or unreleased numbers.
Training beats tool shopping when the risk is people pasting the wrong file into the wrong chat.
